Privacy Policy

 

 

As the data controller of all information collected, c21-virtual (we/us/our) takes your (you) privacy seriously.  The following explains what information we collect, how we use it and your rights in respect of this.  This applies to the c21-portfolio of virtual conference programmes and to any future, related activities that we may embark upon, commercial or otherwise.

 

1.  Why do we collect information and what do we use it for?

 

a)  To individualise our service offering to the specific requirements of individuals or organisations.

b)  For ongoing development of and improvements to our service offering.

c)  So that industry players informed of our activities that are of potential interest or benefit to them.

d)  To promote awareness of the opportunity to selected industry players to enhance their visibility and input in respect of our portfolio of conference programmes and related services, through engagement in selected sponsorship packages and other such marketing concepts and to fulfil our contractual obligations in respect of such arrangements.

e)  To source contributors and partners to enhance individual projects that we are producing.

 

2.  Personal information?

 

a)  Any personal information that we collect comes from online registration forms to attend events, requests for information about our services and offerings, online conversations that we have had with you, and any other such voluntary interaction.  In the case of this information being submitted through other platforms that we work with, such a webinar providers, social or professional media, or through partnerships with other organisations (service providers), then the privacy policy of those entities will apply.

b)  In all cases, personal information will be used for the purposes set out in paragraph 1.

c)  c21-virtual uses service providers that are internationally dispersed and not necessarily based in the UK.

 

3.  c21-virtual applies the following the legal basis, under data protection law, to process your personal information:

 

a)  because the processing is necessary to perform a contract with you, or take steps prior to entering into a contract with you (e.g. where you contact us because you want to purchase  or leverage our services we will use your personal information to arrange and put in place the relevant contract);

b)  because we have obtained your consent (e.g. where you contact c21-virtual with a query, where you add optional information to your user account profile, or if you consent to receive marketing from us);

c)  because it is in our legitimate interests as a next-generation communications and network platform provider to maintain and promote our services and understand our customers. We are always seeking to improve our services and understand our customers better so that we can provide the best services and customer experience. We will, therefore, rely on legitimate interests where we use your personal information to administer the Website, carry out market research and to secure the Website and the Rooms and discussion boards. 

 

4.  Who do we share your personal information with?

 

c21-virtual may share your personal information with third parties in the following circumstances:

a)  With our suppliers and service providers where they provide services to us which involves them handling personal information on our behalf (e.g. if we use service providers to send email marketing);

b)  With our professional and legal advisers where c21-virtual requires professional advice;

c)  With third parties engaged in fraud detection or prevention;

d)  With law enforcement or other governmental authorities;

e)  In the event that we sell any business assets, the personal information of our customers may be disclosed to a potential buyer.  In this event, we will make reasonable attempts to ensure the buyer will be bound by the terms of this privacy notice;

f)  To the extent that c21-virtual is required to disclose the personal information by law, for instance, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend its legal rights.

 5.  How does c21-virtual distribute information?

 

a)  Through external e-Marketing platforms such as iContact.

b)  Through person to person email contact from c21-virtual personnel to selected individuals.

c)  Through messaging platforms such as social and professional media and text.

d)  Through personal phone contact.

6.  Please note well:

 

a)  In all cases, the contacted individual has the option to “unsubscribe”, in the case of e-Marketing platforms, or request that no further contact be made, in the case of person to person contact.  In the case of someone unsubscribing from e-Marketing mail outs, and yet still receives emails, this is always because more than one email has been entered for this individual and therefore more than one email address will need to be “unsubscribed”.  The unsubscribed option is almost always at the very end of the email.   

b)  c21-virtual does not sell the data it collects in the sense of a “list broking” operation.  However, it may on occasion introduce individuals to one another in the genuine belief that they have shared interests and that such introductions would be of benefit to everyone involved.  Furthermore, this activity could be a chargeable item in the portfolio of c21-virtual service offerings, but in every instance, arrangement would be finalised through person to person contact only, and with the mutual agreement of everyone involved.
